@iNcog i don't really understand the need to talk about "computers" so much. I think half the people already play on their laptops. Realistically these could easily provide the computer for themselves and maybe lend to another person. If you yourself have a small ITX computer you can take it along your travels. This way there is less risk for the "computer person".
With the above assumptions the main problem is monitors. You can usually find cheap used 1080p screens in the range of 30-90 moneys and and new monitors start at around 90+ moneys.
Then there is the problem of network - someone needs to get a big ass switch or just a very good router and everyone could also grab an Ethernet cable from home.
Personally I think the cornerstone of this conversation should be location location location. Islands are a good option, but still kind of expensive. Even more so considering that many people (if not a majority) here are students.
Next up is how do you organize the dates so that highest number of people can attend and participate? How do you ensure entertainment for those that cannot play? For how many hours does a person even want to play/look at AOE3 in a day?

Considering the above mentioned concerns I think it would be most viable to crash an existing LAN party organized by people who make LAN parties.

I think that Mitoe is the only NA guy who can qualify for a 8 players LAN, thus hosting it in Europe is probably the least expensive option.
We'd have to evaluate the cost but I think it would cost 400-500$ on average per player to come and find housing. Thus, it would cost about 4k$ to travel 8 players to a LAN, and that's just too much for ESOC.

Then don't pay players trips. If some players only want to do it for money, then let them stay home.
